How databasics handles your personal data

Our commitment to privacy and protecting personal and sensitive information.

Protecting your privacy and maintaining the confidentiality of your personal information is important to us. To ensure you understand what this means, this Privacy Policy explains our information practices and the choices you can make about the way in which we collect and use personally identifiable information about you.

 

By providing your personal information to us, and by using our website located at www.databasics.com.au, you consent to the collection of your personal information by databasics, and to its use and disclosure in accordance with this Privacy Policy.

 

databasics is a privately-owned company specialising in the provision of Digital Asset Management solutions. We are the Asia/Pacific distributors and support service providers for Canto and Cumulus by Canto DAM products. As an Australian-based company, databasics complies with the requirements of the Australian Privacy Act (1988).

databasics collects your personal information when it is necessary for carrying out our regular business activities. The supply of personal information is entirely voluntary, however without sufficient details we may not be able to provide the level of information that you need to make an informed decision for your business.

Collecting your information

We may collect your personal information in a number of ways including:

  • When you contact our office with a sales inquiry;
  • When you contact our supply partners with a sales inquiry, and you reside in our product distribution area;
  • Through any social media platform upon which you choose to engage with us;
  • Through our website when you:
  • Complete an inquiry form related to our products and services;
  • Subscribe to a databasics newsletter or blog.

When you provide your email address to us for the purpose of receiving our email newsletters, to view an online webinar, or to access a product demonstration, we may request the following information: your full name; address; phone number; email address; and company name. We make a record of any preferences you select relating to your preferred methods of communication.

This information is requested to assist us with tailoring our business communications, however the level of detail you provide is optional. We use your information in line with the Australian Privacy Principles. We do not sell, rent, exchange or otherwise share our email lists or any personally identifiable information about you with any third parties outside of databasics for direct marketing purposes.

However, we rely on various service providers and other contractors to provide services that support our operations, including maintenance of our databases, distribution of emails and newsletters on our behalf, data analysis, payment processing, order fulfilment and other services of an administrative nature. We reserve the right to share your personally identifiable information with these third parties for the purpose of enabling them to provide the services to you on our behalf.

Opting out of marketing and promotions

All databasics emails feature an ‘opt-out’ link that allows you to remove yourself directly from email communications. In relation to direct mail marketing materials, should you wish not to receive direct mail, or you wish to remove any previous consent you have provided, you may instruct us to remove you from our mailing list.

When you browse our website, we collect general statistical information that enables us to continually evaluate the performance of our site. We use this general information in aggregate form to help us develop and design the layout of our website. We also use aggregated information to monitor and plan the effective communication of our products and services.

Automatic data collection

The data that we automatically collect from your computer and browser includes:

  • the number of users visiting our website and the number of pages viewed;
  • the date, time and duration of visits;
  • the path taken through our website; and
  • the IP-address of the computer used to access our site, which includes capturing its software and hardware attributes.

The information that we monitor is collected via cookies, which does not allow us to draw any conclusions about the identities of the visitors to our website. We do not combine cookie data with any additional information that allows us to identify you as an individual user. Information relating to the movement of users through our site may also be used to allow us to undertake remarketing campaigns through Google AdWords. We undertake this activity to assist in promoting our services to persons who have visited our site and who have therefore expressed an interest in Digital Asset Management solutions.

Our remarketing campaigns are enabled via the information collected from cookies contained in your browser. Should you wish to opt-out of Google’s use of cookies, you may do so by visiting Google’s Ads Settings. In relation to web hosting, we use an external company for our web hosting services that provides us with statistical summaries of website usage. We do not collect any personally identifiable information via your IP address.

We do not provide online transactions for our products.

Use of personal data

We use your information in line with the Australian Privacy Principles. This means that where personally identifiable information has been provided, we will only use this information to contact you for the purpose of delivering the services that you request.

 

In delivering these services, we may use your information to communicate with you through periodic messages regarding services, events, product updates, or other information that we believe you will find interesting or useful. This includes contacting you to confirm any subscriptions or other actions you have taken on our website, to send you newsletters, and to attend to your specific customer service needs.

We use the information we collect for the following general purposes:

  • to provide you with access to the specific content you requested;
  • to fulfil your requests for service quotations and product specifications;
  • to improve our website and our services;
  • to inform you about our news and product updates; and
  • to contact you for general follow-up relating to your sales inquiry.

 

Where provided, our financial services providers may use your credit card information to facilitate payment processing and fraud prevention.

 

We use the automatic, non-personally identifiable information that we collect to maintain, secure and improve our website, and to understand your interests when communicating with you.

Disclosure of personal data

We do not sell, rent, exchange or otherwise share our email lists or any personally identifiable information about you with any third parties outside of databasics for direct marketing purposes.

 

We may provide your personal information to our sales partners when they are engaged in delivering our services directly to you:

 

Cross-border disclosure: Many of our sales and supply partners are headquartered outside of Australia. Your data may therefore be shared with partners and resellers who reside in Australia, New Zealand, the United States, Germany, India, Thailand, Malaysia, Hong Kong or Singapore. We have contractual agreements in place with each of these partners that protect how your personal information is used when provided to them by us in the course of delivering the services that you request. None of our partners are subject to the terms of this Privacy Policy.

Disclosure due to legal obligations: databasics may disclose your personally identifiable information in order to: (1) comply with applicable laws; (2) respond to governmental inquiries or requests; (3) comply with a valid legal process; (4) protect the rights, privacy, safety or property of databasics, its employees or the public; (5) respond to an emergency; (6) enforce our Terms of Use; or (7) permit us to pursue appropriate remedies that limit any damages we may sustain.

 

In the event there is a change in the corporate structure of databasics, including through merger, consolidation, sale, liquidation or transfer of substantial assets, databasics may, in its sole and absolute discretion, transfer, sell or assign personally identifiable information to one or more affiliated or unaffiliated third parties.

We take all reasonable steps to ensure the personal information we hold about you is:

We strive to adopt best practice security measures consistent with our industry to ensure the security of any personally identifiable information in our possession, and to protect it from unauthorised access.

 

Although we undertake methods to store your personally identifiable information in a secure operating environment, no system can be guaranteed to be 100% secure. We therefore cannot guarantee the complete security of your data. If you have reasons to believe that your interaction with us is no longer secure, please notify us immediately by contacting us as explained at the bottom of this Privacy Policy.

Our website includes hyperlinks to enable you to access a number of other websites that we believe may be of interest to you. These third-party websites are not subject to this Data Privacy Policy.

Opting out of marketing and promotions

We maintain mailing lists for our resellers, partners, existing clients and those who have requested to be kept informed of our activities. We use these lists to send product updates, promotional materials related to webinars, and other information that may be of interest to members of our database. We do not provide access to or sell details from our mailing list to third parties, except as stated under “Disclosure of Data” above.

Making a privacy complaint

If you believe that databasics has breached your privacy rights, or you have concerns about any of our data handling practices, you may contact our Privacy Officer to request that we investigate and address your concerns.
